Development Of Processes And Procedures For Implementing Electronic Document Systems: Mahidol University Uses A Common Data Service System (Musis). In The National Laboratory Center Mahidol University

Abstract

The Correspondence Unit of National Laboratory Animal Center, (NLAC) Mahidol University is a service unit that provides documents with circulation both from internal departments and external organization. Information Technology Division of Mahidol University has established an electronic document system which is called Mahidol University Shared Information Service System or MUSIS in 2010. MUSIS improves efficiency and reduces the work process of staff. However, the use of the system is restricted to only correspondence staff. The Correspondence Unit of Department has applied the MUSIS by using Google Calendar and Google Drive to respond to NLAC user. With these applying, the user can know the process and documents route. In addition, the user can also search for important documents more conveniently and quickly. Moreover, these applying can reduces paper usage for copying by up to 100%.

หน่วยสารบรรณ ศูนย์สัตว์ทดลองแห่งชาติ มหาวิทยาลัยมหิดล เป็นหน่วยที่ให้บริการทางด้านเอกสารที่มีการเวียน เข้ามาทั้งจากหน่วยงานภายใน หน่วยงานภายนอก มหาวิทยาลัยมหิดล กองเทคโนโลยีสารสนเทศ มหาวิทยาลัยมหิดล ได้มี การจัดทำระบบสารบรรณอิเล็กทรอนิกส์ (MUSIS) ขึ้นมาในปี 2553 เพื่อเพิ่มประสิทธิภาพและลดขั้นตอน ในการปฏิบัติงาน ระหว่างเจ้าหน้าที่กับส่วนงาน และระหว่างส่วนงานกับส่วนงานให้รวดเร็วขึ้น แต่การใช้งานของระบบสารบรรณอิเล็กทรอนิกส์ (MUSIS) มีเพียงเจ้าหน้าที่สารบรรณเท่านั้นที่สามารถเข้าใช้งาน หน่วยสารบรรณ ศูนย์สัตว์ทดลองแห่งชาติ มหาวิทยาลัยมหิดล จึงได้มีการประยุกต์ระบบสารบรรณให้ตอบสนองต่อความต้องการใช้งานของผู้ใช้ภายในหน่วยงาน โดยมีการนำ Google Calendar และ การใช้งาน Google Drive ในการสืบค้นเอกสารข้อมูล ระเบียบ ข้อบังคับ ของศูนย์สัตว์ทดลองแห่งชาติ มหาวิทยาลัยมหิดล เพื่อเอื้ออำนวยต่อการใช้งานและติดตามผลของบุคลากร ศูนย์สัตว์ทดลองแห่งชาติ ให้สามารถเห็น กระบวนการเส้นทางการเดินเอกสารว่าอยู่ระหว่างกระบวนการไหน และสามารถเข้าถึงข้อมูล ระเบียบ ข้อบังคับ ของศูนย์ สัตว์ทดลองแห่งชาติ ได้มากขึ้น นอกจากนั้นยังสามารถลดการใช้กระดาษในการทำสำเนาลงได้ถึง 100%
